Almost every “small office printer” list recommends the same household machines with the word office in front of them. The real difference between a home laser and an office laser is not speed or feeders. It is which cartridge the printer takes, and that decides the cost of every page you will ever print on it.
How we picked
We started from the cartridge tier. For each candidate we looked up the largest genuine black cartridge the printer accepts, read its rated yield and its price from Brother’s own store, and computed the cost per page. Only then did we look at feeders, fax modems and paper trays.
The second filter was wired networking. A printer shared by three or four people over Wi-Fi is the most common source of “the printer is offline” in a small office, and every machine here has Ethernet.
We did not filter on print speed. The gap between 34 and 50 pages a minute is invisible on the two-page documents that make up most office printing, and it is the specification most often sold to you in place of a cheaper cartridge.
The cartridge tier is the whole decision
Brother sells its household mono lasers on the TN830 family and its business mono lasers on the TN920 family. The printers look similar and put the same black text on the same paper. The cartridges do not cost remotely the same per page.
| Cartridge | Printers | Rated yield | Price we read | Per page |
|---|---|---|---|---|
| Brother TN830XL high-yield toner cartridge | HL-L2460DW, DCP-L2640DW, MFC-L2820DW | 3,000 pages | $98.29 | ~3.3¢ |
| Brother TN920XXL super high-yield toner cartridge | HL-L5210DW | 11,000 pages | $204.29 | ~1.9¢ |
| Brother TN920UXXL ultra high-yield toner cartridge | HL-L6210DW | 18,000 pages | $241.49 | ~1.3¢ |
Yields are Brother’s own, rated to ISO/IEC 19752; prices read from Brother USA on 29 September 2026. Cost per page is our arithmetic — supply price divided by rated yield. The method.
The business cartridge costs roughly two and a half times as much to buy and lasts six times as long. That is the entire argument, and it is the reverse of how these printers get sold: the cheap machine with the expensive pages is always at the front of the shop.
Where the dearer printer starts winning
The HL-L6210DW costs $349.99 against the MFC-L2820DW’s $279.99 — seventy dollars more, and no scanner at all. Here is what each costs in black toner alone over three years, at three office volumes.
| Pages a month | On TN830XL | On TN920UXXL | Where that leaves you |
|---|---|---|---|
| 100 | $118 | $48 | Buy the cheaper printer |
| 500 | $590 | $241 | The $70 premium is repaid several times over |
| 1,000 | $1179 | $483 | Not close |
Toner only. Paper, drum replacement and electricity are excluded, and they are broadly the same on both machines.
At a hundred pages a month — a one-person office — the cheap printer wins and you should buy it. At five hundred, the premium comes back several times over. At a thousand it stops being a close call.
What an office needs that a house does not
- Ethernet. Every printer here has it. A shared printer on Wi-Fi drops off the network in a way nobody can reproduce on demand, and a cable ends the argument permanently.
- A document feeder. Fifty pages on the MFC-L2820DW and the DCP-L2640DW. Offices scan far more than households do, and a flatbed makes scanning a twelve-page contract a twelve-action job.
- A cartridge you are not replacing every few months. Covered above, and it is the one specification that never makes it onto the box.
- A second paper source, if you print letterhead or labels. The HL-L5210DW and HL-L6210DW each add a 100-sheet multi-purpose tray — the models with two real trays.
Why not an ink tank printer for an office?
Because at office volumes a tank printer is cheaper still — about 0.4 of a cent a black page against 1.3 cents — and plenty of offices should buy one. The reason many do not is that office printing is bursty and deadline-shaped, and an inkjet that has sat unused for three weeks can want a head clean at exactly the wrong moment. A laser cannot.
If your office prints color at all, the arithmetic swings hard the other way. Color laser against an ink tank has the figures, and the tank printers for a small business is the other side of this page.
